1. Who we are
The Oxford University Blues Committee ("we", "us", "our") is a student-led body operating under the authority of the Oxford University Blues Committee Constitution. We are responsible for awarding Blues and Half Blues to Oxford University students and for governing the Blues system across approximately 70 sports clubs.
2. What personal data we collect
We collect personal data through the forms on this website, including:
- Name and Oxford email address
- Sport and club affiliation
- Individuals nominated for Extraordinary Full and Half Blues
- Details of sporting achievements provided in support of a nomination
- Contact details provided with enquiries, appeals, or grievances
We do not collect financial information, special category data, or data relating to children through this website.
3. How we use your personal data
We use the personal data you provide to:
- Process Blues and Half Blue nominations and communicate outcomes to applicants
- Review and respond to criteria change requests
- Respond to general enquiries, appeals, and grievances
- Maintain an accurate record of awarded Blues in accordance with Oxford University Sport requirements
We do not use your data for marketing or profiling.
4. Legal basis for processing
We process your personal data under the following legal bases as defined in Article 6 of the UK GDPR:
- Legitimate interests (Article 6(1)(f)): administering the Blues system, processing nominations, and maintaining records of awards.
- Consent (Article 6(1)(a)): where you have voluntarily submitted an enquiry or grievance and provided contact details for the purpose of receiving a response.
5. How long we keep your data
Nomination data and the records of motions passed or failed are retained indefinitely as part of the historical record of the Blues system. This is consistent with the Committee's record-keeping obligations.
General enquiry correspondence is retained indefinitely from the date of resolution. Appeal and grievance records are retained indefinitely from the date the matter was closed.
6. Who we share your data with
We use Airtable (a product of Formagrid Inc.) as our data management platform. Data submitted via forms on this website is stored in Airtable. Airtable acts as a data processor on our behalf and processes data in accordance with our instructions and applicable data protection law.
Cloudflare acts as a data processor on our behalf and processes data in accordance with our instructions and applicable data protection law.
Google Fonts is used to render text and may process IP data.
LUMA is used for event management. LUMA acts as a data processor on our behalf and processes data in accordance with our instructions and applicable data protection law.
We do not sell, rent, or otherwise share your personal data with third parties for their own purposes. We may share data with Oxford University Sport where required for the administration of the Blues system. Additionally, we may share your data with colleges who request this information for the purpose of recognising sporting achievement.
7. Your rights
Under UK data protection law you have the right to:
- Access the personal data we hold about you (subject access request)
- Request correction of inaccurate or incomplete data
- Request erasure of your data in certain circumstances
- Object to or restrict our processing of your data
- Data portability (where processing is based on consent or contract)
- Withdraw consent at any time, where processing is based on consent
To exercise any of these rights, contact us using the enquiry form. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
8. Cookies and analytics
This website does not currently use cookies or analytics tracking. Airtable embedded forms may set cookies necessary for their operation; please refer to Airtable's privacy policy for details.
If analytics are introduced in future, this notice will be updated.
9. Security
This website is hosted on Cloudflare Pages and served over HTTPS. Data submitted via forms is transmitted directly to Airtable over encrypted connections. We take reasonable steps to ensure that personal data is protected against unauthorised access, loss, or disclosure.
Access to the Airtable base containing your data is restricted to authorised members of the Blues Committee and Oxford University Sport staff. We review access permissions at the start of each academic year.
